Why support teams start separating the help desk from Intercom

Intercom earns its price when the same team runs support, in-app messaging and customer engagement from one system. Trouble starts when email support is the job but the account still carries seat prices, Fin outcomes and an outbound product stack. These six checks show whether DobroDesk is a sensible Intercom alternative or merely a smaller product.

Reason 1

Do not buy an engagement stack for a support-only job

Intercom combines Messenger, support email, ticketing, a public Help Center, Fin, banners and tooltips. Product Tours, Surveys, Posts, Checklists and campaign sequences sit in Proactive Support Plus. That is useful when onboarding, lifecycle messaging and support belong to the same operating team. A SaaS company that actively uses those surfaces may save time by keeping them together.

Many small support teams do something narrower. Customers write to support, a teammate investigates, another person adds context and someone replies. DobroDesk is built around that loop. Email and the website widget feed shared Inboxes, every conversation has visible ownership and the customer history remains beside the reply. Removing tours and outbound campaigns is not a benefit by itself. It becomes a benefit when nobody was using them and the help desk no longer has to carry their complexity.

Reason 2

Intercom pricing has more than one moving part

Intercom Essential is publicly listed at $29 per full seat each month. Advanced is $85 and Expert is $132. Fin starts at $0.99 per outcome. Proactive Support Plus is $99 per month with 500 messages and additional usage is charged. Unlimited Copilot is another $29 per agent monthly with annual billing. WhatsApp, SMS, email campaigns and phone also have usage charges. Not every team buys every part, but a serious estimate has to ask which parts it will use.

DobroDesk uses one support meter: accepted customer conversations. Teammates and AI drafts or answers are included. The public calculator keeps the Intercom seat component separate from Fin outcomes because hiding either would make the comparison useless. Run it with ordinary months and a busy month. If Intercom's broader tools produce enough revenue or deflection to justify the bill, keep them. If they are dormant, the cost is paying for optionality rather than work.

Reason 3

Internal collaboration should not depend on the right seat class

Intercom distinguishes paid Full seats from limited Lite seats. Advanced includes 20 Lite seats and Expert includes 50. Lite seats help colleagues follow work without paying for every observer, but only Full seats can send customer messages or use the complete product. That boundary is reasonable for a platform covering support and outbound engagement. It can still create friction when finance, product and engineering occasionally need to act rather than watch.

DobroDesk includes every teammate and controls access through Workspace roles, Inboxes and Teams. A finance colleague can answer the internal question, an engineer can inspect the original message and a support lead can reassign the conversation without changing the subscription. Private notes stay in the record instead of being copied into Slack. This is not unlimited anonymous access: membership and permissions are explicit. The difference is that collaboration policy, not seat packaging, decides who can help.

Reason 4

AI cost and AI permission are two different decisions

Fin is a serious product and Intercom publishes exactly when an outcome is charged: when the customer confirms resolution, stops asking for help after a response or when Fin completes a procedure, including some handoffs. Teams that achieve strong resolution rates may prefer that outcome model. The governance question remains separate. A business still needs to decide which topics may be answered automatically and what evidence an operator can inspect afterward.

DobroDesk includes generation in its conversation pricing and applies a default human boundary. Billing, refunds, privacy, security, legal, abuse, fraud, account deletion and clearly angry cases do not auto-send. Weak evidence stops too. For an ordinary question, the operator can see the supporting passage, edit the draft or approve the answer. This does not claim that Fin lacks controls. It states the DobroDesk default so a buyer can compare policy as carefully as price.

Reason 5

A support Inbox should make the next owner obvious

Intercom can run multiple team Inboxes, workflows and round-robin assignment on Advanced, while SLAs sit on Expert. For organizations using the full platform, those tiers may line up with the required administration. A smaller team can end up choosing a plan not because it needs a bigger engagement suite, but because one queue needs better routing or a service target.

DobroDesk separates Channels, Inboxes and Teams from the start. Gmail, Outlook or the website widget describes where a message entered. Payments, Orders or General describes where the work belongs. The Team describes who may own it. Unassigned work stays visible, opening does not claim it and service calendars continue through handoffs. The model is intentionally plain because a busy queue needs an answer to one question before anything else: who is responsible now?

Reason 6

Leaving Intercom should not force a rushed all-or-nothing move

An Intercom account may contain conversations, contacts, companies, attributes, articles, saved replies, Messenger entry points and outbound programs. Not all of them belong in the new help desk. Product tours may remain valuable even when support email moves. Old articles may need review before they become AI evidence. A direct switch that treats every object as equivalent creates more cleanup than confidence.
